Tasks are the unit of human work in the Agency App. Most are created by workflows — a review stage, a returned package, an evidence gap, a changed input — and some you create yourself. Every task has an owner (a person, or a role queue), an optional delegate, a due date, a state (open / done) and a full history.

Task kinds

ReviewA workflow review stageRecording the governed decision on the record.
ApprovalAn approval stage (plan, workflow change, automation)Recording the decision.

Create a personal task

  1. 1

    Open My Work › Tasks

    /pdcc/my-work?tab=tasks.

  2. 2

    Choose New personal task

The New personal task panel opens.

  3. 3

Fill in Title, Due date and Acquisition

Title is required (max 200 characters). Due date and the linked acquisition are optional.

  4. 4

    Create task

The task is owned by you, belongs to Core and records a *created* history event.

Ownership and schedule

Select a task to open Task detail. The Ownership and schedule section holds the four management actions. Each asks for a reason, which is written to the task history.

Reassign

  1. 1

    Choose Reassign to

Pick a colleague from the list of assignable people.

  2. 2

Enter a reason and click Reassign

The owner changes; history records from, to, who and why.

Delegate

  1. 1

    Choose Delegate review to

    Pick a colleague.

  2. 2

    Set Until

The delegation end date-time — must be in the future.

  3. 3

Enter a reason and click Delegate

The owner keeps the task; the delegate can act on it until the end date.

Change due date

  1. 1

    Pick a new Due date

Must be in the future, or clear it.

  2. 2

Enter a reason and click Change due date

History records the old and new date.

Complete

  1. 1

    Write an Outcome note

Required, up to 2,000 characters — what was done and with what evidence.

  2. 2

    Click Complete task

The task closes and moves to Done.

Rules the app enforces

RuleApplies to
Only the current owner, a holder of the capability the task requires, or a user administrator (agency.users.manage) can manage a task.Reassign, delegate, due date
Reassignment and delegation never grant anything. The new owner or delegate must already hold the capability and the data scope the task requires — otherwise *OWNER_LACKS_CAPABILITY* / *DELEGATE_LACKS_SCOPE*.Reassign, delegate
The person must be an active member (not a workload identity).Reassign, delegate
You cannot delegate to yourself.Delegate
Separation of duties: a handoff review cannot be delegated to the person who prepared or submitted the package.Delegate
Closed tasks cannot be reassigned, delegated or rescheduled. All
Only the owner or the current delegate can complete a task.Complete
Review, approval, handoff and changed-input tasks tied to a record cannot be marked complete directly — open the item and record the decision.Complete
If the task's module is not currently available, it is read-only until the module returns.Complete
Heads up — Changing an internal task due date never changes contract terms or source-system dates. Completing a task completes only that task — e.g. accepting evidence for a follow-up task does not resolve an open funding decision on the parent exception.

Reassignment at team level

Supervisors rebalance work from Team & Portfolio › Team Workload. There, a reassignment is proposed, reviewed and confirmed; capacity suggestions inform the human decision but never commit it. Existing tasks stay with their owner unless explicitly transferred, and if the notification of a confirmed reassignment fails, the assignment stays committed and only the notification is retried.

Tip — Contract team roles (contract specialist, CO, COR) are not tasks — they are assigned per contract. See contract team assignment.
